CDI software for querying

I am currently developing a CDI department and am trying to implement a working process for querying the physicians and getting a response. We have recently switched to epic and although I can use the dot phrases to send templates through their in baskets, they cannot respond to my queries by ticking the boxes, free texting and then signing their name before they return it to me. I have also been informed that Epic cannot develop this into their programme. Are there any programmes or software out there in which the above can be achieved without it becoming part of the medical record? Any help would be gratefully appreciated as I am spending more time on this issue than actually learning.
