I am curious how many facilities have a regular meeting between their documentation team ie. coding/medical records/documentation specialists etc. If so, how often do you meet, who attends, what kind of agenda items do you have?

  • We do.
    When we began our program 6mo ago (well technically we had a program for 5+ years but we had been unstaffed for the last 2) we had weekly CDI meetings. Now that things are rolling, we meet every other week.
    The meetings include: Me (CDI program coord) and the one other CDS, as well as our coding manager, my department director and our physician liason. Now that we are meeting every-other week, on off weeks CDS' simply meet with our director at that time.
    I am responsible for the meeting agenda and we use this time to discuss any obstacles we have come accross in the last couple weeks. I put our a lot of educational materials and I often have our physician liason look at that info. Sometimes we do case reviews. Like last week we reviewed a death chart of a low SOI/ROM patient to see what would have been done differently (if anything).
    We also discuss things like ICD-10 as we are actively involved in that process.

    Its a good time for us to all touch base since generally we (the CDS') are completely independent and we are in a different office from our director. Our physician liason can be tough to reach at other times.

    We try to meet once a month. Coders and CDS's. We invite our respective managers. We go over reports. We try to do some type of education and discuss problem areas.
